OpenAI File Browser
Lists every file in your company's OpenAI account, and shows which vector store(s) each file belongs to. A file can be in zero, one, or several stores at once — this page is where you review files and change those memberships across stores.
Files and vector stores
OpenAI keeps your uploaded files in one account-wide list, and vector stores reference those files. The AI assistant searches vector stores, so the store(s) a file is in determine when it is consulted. The Vector Stores column lists every store each file is included in; click a store to open its page. A file with no store shows a dash.
The customer/ship-location reference used by AI order matching (uploaded from the Customer/Ship-Location Matching page) is not part of a vector store, so it appears here with a Customer List note and is protected from Remove Unused.
Upload a File
Choose a file and click Upload to add it to your OpenAI account. A newly uploaded file starts in no vector store; select it and use Add to Store (below) to make it searchable by the AI assistant.
Change which stores a file is in
Check one or more files, choose a vector store from the dropdown, then:
- Add to Store — includes each selected file in the chosen store (files already in it are skipped).
- Remove from Store — detaches each selected file from the chosen store. This does not delete the file; it stays in your account and in any other stores.
A running count naming the current file is shown while the change is applied.
Delete files
- Delete Selected — permanently deletes the checked files from your OpenAI account. This also removes them from every vector store they were in.
- Remove Unused — deletes, in one step, every file that is in no vector store, except the protected Customer List file. The button label shows how many files qualify.
