Invite a New External User
Enter the email address of the person you want to invite. External users can only view data for specific customers, so use the Customer Access dropdown to select which customers this invitee will be able to see — selected customers appear in a removable list below the dropdown. Click Send Invite to email the invitation, or Cancel to return to the invitations list without sending anything.
For each customer you add, you can grant access to All locations or limit it to Specific locations. Choosing Specific locations reveals that customer's ship-to locations as checkboxes — the invitee will then only see orders, shipments, and invoices for the locations you check. If a customer has no separate locations defined, access is simply company-wide for that customer. You can mix and match: grant one customer all of its locations and another just a single site.
What the invitee receives
Sending the invite emails a branded Backbone MRP message to the address you entered. The email is personalized so the recipient knows it's genuine and what to do next. It includes:
- Who invited them — your name and email, and the name of your company.
- An Accept Invitation button — the one and only way they gain access to your data. It sets up their account (if they're new) and links it to your company.
- A plain copy-and-paste link, in case their email app doesn't show the button.
- A link to your Customer Portal, so they can sign in there afterward or start from your company's branded page.
Only accepting the invitation connects someone to your company — simply creating a Backbone account from the portal does not. See Customer Portal for how invitees sign in once they've accepted.
