Customer Editor

Opening a customer from the list loads a Customer Editor tab with six sub-tabs: Info, Parts, Orders, Shipments, Invoices, and Settings.

Info Tab

The Info tab is divided into two sections.

The top section shows the customer's core details and provides the following buttons:

  • Edit — toggles edit mode for the customer fields. Fields become editable only when this is active.
  • New Order — creates a new sales order for this customer and opens it in a new tab.
  • Create Order with AI — opens a file picker to upload an order document. An AI model reads the document and pre-fills a new order. Requires an Anthropic or OpenAI account to be configured in Settings.
  • Add Location — adds a new location/contact entry for this customer. Always available: it creates the row and switches the table into edit mode for you, so you don't need to click the table's Edit button first.

The editable fields in this section are:

  • Customer Name
  • Preferred Language — the language this customer's paperwork is written in. See below.
  • Billing Email
  • Billing Address
  • Customer Notes

The customer's order defaults — Default Currency and Default Order Terms — are on the Settings tab (see below).

Preferred Language

Sets the language Backbone MRP uses for the documents you send to this customer — the order confirmation, packing slip, and invoice PDFs. Pick the language from the list, where each one is shown in its own script (Español, Русский), and it applies to every document generated for this customer from then on.

This is not the same as your own language. Your language setting controls the desktop app's buttons and menus for you; this one controls the paperwork your customer receives. A German-speaking salesperson still sends English invoices to a customer in Ohio.

Leave it on Company default — which is how every customer starts — and documents follow the company's Default Language (Company Settings › Edit), falling back to English when that is not set either.

Only the fixed wording on the document is translated: the column headings, field labels, and the document title. Everything you typed in yourself — part descriptions, order terms names, notes, addresses — appears exactly as you entered it.

Note: documents can currently be produced in the languages that use the Latin, Cyrillic, and Greek alphabets. Customers set to a language written in another script — Japanese, Chinese, Korean, Arabic, Thai, or the languages of India — receive English documents for now, and the setting you chose is kept and starts working as soon as support for those scripts is added. Every one of the 43 languages works in the desktop app itself.

The bottom section is a Customer Locations / Contacts table. Each row is a physical location or contact point for the customer. Click Edit in the table title bar to make the rows editable. The columns are:

  • Location Name
  • Contact
  • Email
  • Phone
  • Fax
  • Address
  • Default Ship Via
  • Default FOB — the Freight On Board option applied to an order automatically when this location is selected as the order's ship location (see FOBs)
  • Default Order Terms
  • AI Note — free-form guidance for the AI when it matches an incoming order's ship-to or contact to this location. Its text is included in the customer list uploaded to the AI, so use it to tell the AI things it wouldn't otherwise know — for example, a location that has been renamed but whose orders should still match to this one. Works the same way as the customer-level AI Note on the Settings tab (below).

Parts Tab

Shows the parts associated with this customer, such as customer-specific part numbers or pricing.

Orders Tab

Lists all orders placed by this customer. Orders can be opened from here to view or edit their details.

Shipments Tab

Lists all shipments sent to this customer.

Invoices Tab

Lists all invoices issued to this customer. Invoices can be exported to QuickBooks Online if the customer is linked to a QB account.

Settings Tab

The Settings tab is split into two sub-tabs, Financials and AI. Turn on Edit mode (the button above the sub-tabs) to change any of the fields on either one.

Financials

Holds this customer's order defaults and sales-tax settings:

  • Default Currency — the currency used by default on new orders for this customer.
  • Default Order Terms — the payment terms applied by default to new orders.
  • Sales Tax Rate (%) — an optional rate that applies to this customer only. Leave it blank to fall back to your company's default rate.
  • Apply sales tax to this customer — the taxed gate. When on, this customer's orders are taxable; when off, tax is never applied to this customer. New customers turn this on automatically when your company has a default tax rate configured.

AI

Holds a single free-form AI Note for this customer. The note is included in the customer list uploaded to the AI (see AI Order Reading), so use it to tell the AI things it wouldn't naturally know when matching incoming orders to this customer.

Example: a customer is bought by another company and their order forms now show the new company's name, but you still want those orders booked under this original customer entry in Backbone. Note that here, and the AI will keep matching those orders to this customer. Each ship location/contact has its own AI Note on the Info tab that works the same way (see above).

Notes only reach the AI after you upload the customer list, so refresh the upload from the Customers list after editing them.
