Sales
The Sales drop-down menu in the workbench toolbar gives access to customers and all open sales activity. The four items in the menu are described below.
Customers
Opens the Customer List, which shows every customer on record for the company. From this list users can add new customers, open an existing customer to view or edit their details, and manage customer-specific pricing and contacts.
Open Orders
Opens the Open Orders List, which shows all sales orders that are not yet complete. Users can review order details, track progress, and open individual orders to edit line items or add notes.
Customer returns are handled as orders too: an order with the Is RGA box checked is a Return Goods Authorization. See Orders & Return Goods Authorizations (RGAs) for how returns are shipped and credited.
Open Shipments
Opens the Open Shipments List, which shows all shipments that have been created but not yet invoiced. Use this list to confirm what has left the warehouse and to create invoices once shipments are ready to bill.
Open Invoices
Opens the Open Invoices List, which shows all invoices that have been issued but not yet paid or closed. From this list users can view invoice details, track outstanding balances, and export invoices to QuickBooks Online if connected.
Exporting Invoices to QuickBooks Online
Once you are connected to QuickBooks Online (see the QuickBooks section), select one or more invoices, right-click, and choose Export invoice(s) to push them to your QuickBooks Online company. The Exported to QB column shows which invoices have already been exported. Re-exporting an invoice that has already been sent updates it and does not count against the free limit below.
Free tier: Without the paid QuickBooks Online Integration feature, you can export up to 5 invoices to QuickBooks Online. Beyond that, exporting a new invoice is blocked until the feature is activated — Backbone will tell you how many free exports remain and skip the ones over the limit. Activate the feature on the Subscription Settings page to export unlimited invoices.
Emailing Documents to Customers
Order confirmations, shipment notifications, and invoices can be emailed directly to your customers under your company's name. Order confirmations and invoices go out with a PDF attached; shipment notifications include the full shipment details right in the email body.
