Branded Email & Email Volume

Backbone MRP emails your order confirmations, shipment notifications and invoices to your customers. This page covers the two subscription options that control how those emails are sent: Email Volume (how many you can send each month) and Personalized Email Addresses (sending from your own domain).

Admins only. Both options are configured by a company admin under CompanyManage Subscription and Branded Email.

Email Volume

Every company can send a number of document emails each month. Your plan includes 100 emails per month for free. If you send more than that, add Email Volume in 1,000-email blocks under Manage Subscription › Update Features. Your monthly limit is 100 + (blocks × 1,000), and the cost is $1.50 per block per month.

You can see how many emails you have used this month, and your limit, on the Subscription overview page under Email Usage.

What happens at the limit? When you reach your monthly limit, further order/shipment/invoice emails are paused and the send shows a message asking you to raise your Email Volume. Increase the tier under Manage Subscription to resume sending — the count resets automatically at the start of each month.

Personalized-address emails (below) count toward this same monthly total.


Personalized Email Addresses

By default your documents are sent from a shared Backbone MRP address. With the Personalized Email Addresses add-on ($25/month, plus $5/month for each authorized address beyond the 3 included), they are sent from your own domain — for example sales@your-company.com — and are DKIM-signed for your domain so they are more likely to land in your customers' inboxes and reinforce your brand.

Step 1 — Turn on the add-on

Under Manage Subscription › Update Features, check Personalized Email Addresses and click Update.

Step 2 — Register your sending domain

Open the Branded Email page (under Company), enter your domain (for example your-company.com) and click Set up domain. Backbone MRP creates the sending domain and a DKIM key for you and shows the DNS records you need to publish.

Step 3 — Publish the DNS records

At your domain's DNS provider (where you manage your website's DNS), add the records shown on the page:

  • DKIM (CNAME)required. Add a CNAME record with the name and value shown. This is what lets us sign email as your domain.
  • SPF (TXT) — recommended. If you already publish an SPF record, merge the shown include: into it rather than adding a second SPF record.
  • DMARC (TXT) — recommended. Add it at _dmarc.your-domain if you don't already have a DMARC policy.

Use the Copy buttons to copy each value exactly.

Step 4 — Verify

After publishing the DKIM record, click Check status. DNS changes can take a few minutes to a few hours to take effect; once verified, the status changes to Active.

Step 5 — Add authorized senders and pick a default

In the Authorized Senders section, add the From addresses you want to send as (each must be at your registered domain). Then click Set as default on the address your documents should come from. Your plan includes 3 authorized addresses; add more under Manage Subscription if you need them.

Important: Each address you add must be a real, existing email address at your domain — one you already send and receive mail with. Adding it here only authorizes that existing address to appear as the "From" on your documents; it does not create a new mailbox or email account. Create the mailbox with your email provider first, then authorize it here.

Step 6 — Choose which address each document sends from

On the Document Email Addresses page (linked from Branded Email), pick, for each document type, the "From" address to use:

  • Order acknowledgements
  • Shipment notifications
  • Invoices

For each, you can choose a specific authorized sender (e.g. orders@your-company.com), the email address of the user who sends it (so it comes from the individual staff member), or leave it on the shared Backbone MRP address.

Must be authorized. If you choose a specific address — or "the user who sends it" — that address must be one of your Authorized Senders. If it isn't, the send is blocked with a message asking you to authorize it first. (Purchase-order emails always use the shared address.)
When branded email is used. Once your domain is Active, order, shipment and invoice emails go out from the address you chose for each. Until then (or if a type is left on the default, or you remove the add-on), they are sent from the shared Backbone MRP address — no email is ever lost while you set things up.
